ORAL PRESENTATION GUIDELINES

PRESENTATION FORMAT

All oral presentations must be accompanied by PowerPoint or PDF slides. Presenters are solely responsible for the presentation content (order, graphics, etc.).

Please prepare your presentation using the most recent version of Microsoft PowerPoint (though older versions are also supported). The screen aspect ratio will be 16:9. Please avoid using Apple Keynote and Prezi presentations. The on-site computers will only support PowerPoint format. Mac users can export their files to PowerPoint by selecting "Export to > PowerPoint." Ensure your presentation is in a compatible format, as indicated below.

Supported file types:

  • PPTX
  • PDF

When saving your final presentation on a USB flash drive, ensure that all video or multimedia files (if any) are included. External content should be embedded directly into the presentation.

If you prefer using a template with the PTCOG-NA Annual Meeting's graphics, you can download one HERE (optional).

FILE UPLOAD/DEPOSIT

There are 2 ways how to upload your presentation:

  1. ONLINE IN ADVANCE (recommended)
    • You are encouraged to upload your presentation online before arriving at the venue.
    • The title of your presentation should follow this template: Date_Session Title_Surname (for example: November 14_Educational Session 1_Smith)
    • CLICK HERE to upload the final version of your presentation by November 13, 2024. The Secretariat will ensure your presentation is available in the lecture room's presentation system, eliminating the need for on-site upload. Please note that we cannot guarantee uploading presentations submitted after November 13, so those files must be uploaded on-site with a USB stick.
    • Uploading online in advance is mandatory for speakers presenting in the early November 14, 2024 sessions.
  2. ON-SITE AT THE VENUE
    • If you have not uploaded your presentation in advance, please hand over your file to the A/V personnel in the lecture room on a USB flash drive as soon as possible upon arrival, but no later than 15 minutes before the start of your session. If there is no break immediately before your session, please upload your presentation during the last break before your session.
    • The A/V personnel will upload your presentation, and you will be able to verify that it is operating correctly.
    • Please note that if you are late, we cannot guarantee the timely upload of your file.
    • File upload is possible only during breaks (no upload is permitted during a session).
    • Presenting from your personal laptop is not permitted in the lecture room.

IN THE LECTURE ROOM

Speakers must be present in the lecture room at least 10 minutes before the session starts to meet with the session chairs. Please be ready for your turn to ensure the session runs smoothly. It is advisable to remain in the lecture room before your presentation time in case of any last-minute schedule adjustments (e.g. a cancelled presentation before your talk).

STORAGE OF PRESENTATIONS

Please complete the following CONSENT FORM to indicate whether you agree to make your presentation available to PTCOG-NA members. Publication of your presentation will depend on the authorization provided online.
